Job Description
The Benefits & Payroll Coordinator plays a key role in the day-to-day administration of employee benefits and in supporting payroll processing, ensuring data integrity across HiBob (HRIS), Sun Life and ADP (payroll), and contributing to a smooth employee experience.
Working closely with the HR team and Payroll, this role serves as a primary point of contact for benefits, leave and payroll-related inquiries, and provides hands-on support to the payroll function. The position requires strong attention to detail, confidentiality, and the ability to deliver accurately within tight payroll deadlines, in a multi-entity environment (Montreal, Quebec City, Toronto, Los Angeles).
Key Accountabilities
Benefits Administration
- Administer employee benefits programs (group insurance, wellness, group RRSP, etc.): enrollments, changes, terminations, follow-ups.
- Track leaves and absences (maternity/paternity, sick leave, disability, etc.) and ensure files remain compliant and up to date in all systems.
- Act as a point of contact for employees and managers regarding benefits and approved leaves; escalate complex cases as needed.
- Maintain up-to-date documentation and coordinate information sessions with providers when required.
Payroll Processing Support
- Prepare, validate and submit payroll inputs according to payroll schedules (hires, terminations, changes, absences, bonuses, adjustments).
- Validate employee file changes (promotions, status changes, salary changes) and ensure data accuracy ahead of payroll processing.
- Prepare retroactivity calculations and adjustments (salary, vacation, corrections) in accordance with established policies and practices.
- Work closely with the Payroll Specialist on ad hoc needs and contribute to ongoing process improvements.
HRIS Data Integrity & HR Coordination
- Ensure the quality and integrity of data in HiBob and ADP: data entry, audits, corrections, and record consistency.
- Create and maintain employee and contractor records (start/end dates, absences, changes) based on internal standards.
- Support new employee onboarding: information verification, coordination of program enrollments, basic guidance and follow-up.
- Document processes, maintain tracking tools, and help standardize practices across locations.
Reporting & Special Projects
- Produce and maintain HR/payroll/benefits reports (tracking, extracts, controls) and provide recommendations when relevant.
- Participate in HR projects (process optimization, compliance, rollouts/tools) in support of the team.
Qualifications
- Minimum 2–3 years of experience in a role combining benefits administration and hands-on payroll experience (mandatory).
- College diploma (DEC) in Human Resources, Business Administration, or a related field (or equivalent experience).
- Practical understanding of payroll processes (preparation/validation) and basic knowledge of employment standards (multi-province knowledge is an asset).
- Experience with group insurance plans and benefits administration.
- Proficiency with MS Office, including intermediate Excel (tables, formulas; pivot tables are an asset).
- Knowledge of Monday.com is an asset.
- Experience with an HRIS and a payroll system; HiBob and ADP are strongly preferred.
- Knowledge of U.S. and/or French payroll is an asset.
- Bilingual French/English (written and spoken) to support multi-site teams.
- Strong sense of confidentiality, accuracy, sound judgment, autonomy, excellent organizational skills, and attention to detail.
- Ability to work under pressure and deliver within payroll deadlines.
- Asset: PCP (Payroll Compliance Practitioner) certification.
The incumbent will collaborate daily with teams located outside of Quebec, notably in Los Angeles and Toronto, where English is the primary working language. The role will also require regular communication with international external stakeholders who are not French-speaking. English proficiency is therefore essential to ensure clear, efficient communication in a global work environment and to represent Rodeo FX’s creative and technical capabilities worldwide.
