Reporting into the Production Manager, the Department Coordinator provides operational and administrative support to the RotoPaint and Matchmove departments. This role acts as a key point of coordination between department leadership, show production teams, internal artists, and external outsource vendors to help ensure work is organized, tracked, and delivered efficiently across multiple productions.
The ideal candidate is highly organized, proactive, and thrives in a fast-paced production environment.
Key Responsibilities
Provide day-to-day administrative and operational support to the RotoPaint and Matchmove departments.
Track departmental work, artist assignments, and production status across multiple shows.
Coordinate communication between department leadership, show production, and outsource vendors.
Manage the flow of work packages, notes, and deliveries to and from external vendors.
Monitor vendor submissions, revisions, and delivery status to support production deadlines.
Schedule meetings, take meeting notes, and track action items.
Maintain departmental documentation, reports, and production tracking tools.
Support onboarding of new team members.
Escalate scheduling conflicts, risks, or missing information to the Production Manager as needed.
Qualifications
Minimum two (2) years experience in a VFX Coord role (or in a similar)
Strong technical understanding of the VFX pipeline across multiple departments as well as interest and knowledge of VFX software packages
Excellent written and oral communication skills
Advanced Excel skills
Shotgun, or other production management software experience
Experience in a VFX, animation, post-production, or production coordination role.
Excellent organizational, communication, and multitasking skills.
Experience with production tracking tools and spreadsheets.
Ability to coordinate effectively with internal teams and external vendors.
Strong attention to detail and follow-through.
Experience supporting outsource vendors or external production partners is an asset.
